What Goes Into a Professional Electrical Quote

A professional quote does more than list a price. It protects you legally, sets clear expectations with the client, and signals that you run a serious business. A rough number texted over WhatsApp does none of those things.

Here is what every professional electrical quote should include.

Scope of Work

Be specific. "Replace DB board with 8-way unit, install 8 x 20A circuit breakers, terminate all circuits, test and sign off" is a quote. "DB board replacement" is not. Vague scopes lead to disputes over what was included.

If you are doing a large installation, break the scope into phases or areas of the property. Clients understand this, and it makes your pricing easier to justify.

Materials Breakdown

List materials by item. Include the brand or spec where it matters — a Schneider breaker versus a no-name unit is a R400 difference and a liability difference. You do not have to reveal your supplier margin, but itemising shows you know exactly what is going in.

Common line items for electrical quotes:

  • Distribution board (specify amperage and number of ways)
  • Circuit breakers (per unit)
  • Earth leakage unit
  • Wiring (per metre run)
  • Labour (per hour or flat rate)
  • Sundries (cable ties, conduit, back boxes)

Labour Rate

State your labour rate clearly, even if it is a flat rate for the job. Break it down by hours if the job is complex. This protects you if the client disputes the charge later — you have a signed document showing exactly what you quoted.

VAT

If you are VAT registered, show VAT as a separate line. This is a legal requirement in most countries. Show the amount excluding VAT, the VAT amount, and the total including VAT. If you are not VAT registered, do not add VAT at all.

Validity Period

Include a validity date: "This quote is valid for 30 days from the date of issue." Material prices move, and so do your rates. If the client comes back six months later, you are not obligated to honour a price that no longer covers your costs.

Payment Terms

State your payment terms on the quote itself:

  • Deposit required before work starts (30-50% is standard)
  • Balance due on completion
  • Payment methods accepted

Clients who accept your quote have accepted your payment terms. This makes the conversation far easier when the job is done.

Why WhatsApp Quotes Lose You Jobs

A price sent via WhatsApp looks like a guess. Clients getting multiple quotes will pick the tradesperson who sent a professional PDF document — even at the same price. The document signals that you are organised, you have done this before, and you will be easy to work with.

There is also a legal risk. A WhatsApp message is hard to enforce if a client disputes the scope or the price. A signed quote is a contract.
